Getting started
How do I set up my first job?+
From your dashboard, hit Add Project. Give it a name, the invoice total if you know it, and any checklist items. Add costs and assign tradies as you go - profit updates live as hours and costs land.
How does the free trial work?+
14 days, up to 3 tradies, every feature included, no card required. When it ends you pick a plan to continue - your data is never deleted, even if you take a while to decide.
Is there a guided tour?+
Yes - on your first login the tutorial walks you through a realistic demo job, then cleans up after itself. You can rerun it anytime from the dashboard.
Does it work on phones?+
That's the point. There are native iPhone and Android apps for the crew, and the web dashboard works on any device. Most tradies never touch a computer.
Your crew
How do my tradies join?+
Give them your company code (on your dashboard). They download the app, choose Join a Company, enter the code and their email, and they're in - logging hours against the jobs you assign them.
What can tradies see?+
Their own jobs, tasks, checklists and hours. Financials - invoice totals, costs, profit - are owner-only. Admins see everything except financials.
How do tradies log hours?+
From their phone, per day, against the job they're on. You see the hours (and what they cost you) on the job the moment they save.
Quotes, invoices & clients
Can I send quotes and invoices from TrackYaTradie?+
Yes - build quotes from your price list or job templates, send them from your own business identity, and the client accepts or declines online. Invoices support payment stages and variations.
Do clients need an account to view a quote?+
No. Clients get a secure link - they can view, accept or decline, and download a PDF without signing up for anything.
Can I import my labour into an invoice?+
Yes - one tap pulls the job's logged hours in as a labour line at your blended average rate.
Billing & account
How do I upgrade, downgrade or cancel?+
Everything is self-serve on your billing page - change plans (prorated automatically), switch to annual, pause, or cancel. No phone calls, no retention runaround.
What happens to my data if I cancel?+
It stays safe. Your jobs, quotes and history are kept so you can export them or pick up where you left off. You can also request full deletion anytime.
Is there a money-back guarantee?+
Yes - 30 days on your first payment, no reason needed. Details on the refund policy page.
Xero
How do I connect Xero?+
Dashboard, Connect to Xero, log in, pick your organisation - about two minutes. The full rundown is on the Xero integration page.
Why do my synced invoices show as drafts?+
By design - TrackYaTradie never approves or sends anything in Xero on your behalf. You or your bookkeeper review the draft and approve it.
How do I disconnect Xero?+
From your dashboard's Xero section. Disconnecting removes TrackYaTradie's access on Xero's side too.
